Once you have made a booking with us, the following terms and conditions apply:

The customer must be at least 21 years of age and authorised to make the booking on behalf of all other members of the party. By making the booking with Castle Farm Holidays Shropshire the customer is accepting all terms and conditions as listed below:

The person making the booking has the responsibility of ensuring that all guests in their party are aware of our terms and conditions and adhere to them.

If a group booking is being made for several units we will only liaise with the person who makes the booking, and all payments are to be made by just the one person. Any requests for anyone joining the group booking must be made by the main person booking.

The week before your arrival, along with the security bond we will need the names and addresses (if different from the person booking) of everyone staying in the cottage or in the glamping unit.

If you would like to book exclusive use of the glamping site, this will involve booking all pods and shepherd’s hut at the published price, as it is unfair to book a single pod to guests that are not involved in the gathering, thus leaving us with an empty unit.

When you receive your email confirmation of booking you should check all details carefully. If anything is incorrect, we should be contacted immediately. We cannot be held liable for any mistakes that arise from you giving incorrect booking details. Once the confirmation email has been sent by us, the hirer is responsible for the total advertised price of the property and any extras as shown on the hire statement.

PAYMENT

We require an initial deposit of £50 per unit booked (this is non-refundable and becomes the booking fee – this covers reserving the dates for you, so that nobody else can book them, and any admin charges) to secure your booking for the cottages, with balance payable 8 weeks prior to arrival.

If the booking is made within 8 weeks of your stay, the payment is requested in full at the time of booking. Failure to pay on time will result in the booking being cancelled.

PROVISIONAL BOOKINGS ARE HELD FOR THE TIME STATED DURING DISCUSSION. IF NO PAYMENT IS RECEIVED WITHIN THIS TIME THOSE DATES WILL BE RELEASED AND COULD BE BOOKED BY SOMEONE ELSE.

The deposit shall be provided at the time of booking. This is taken by a BACS payment and is non-refundable as we will be holding these dates for you, and unable to take another booking for them.

The final balance payment should be paid in full at least 8 weeks before the commencement date of your stay, or if booking is made within 8 weeks of your stay, payment is taken in full at time of booking.

Please ensure that payment is made on time – if payment is not received on time, we reserve the right to cancel your booking.

A condition of staying with us is that you look after the holiday cottage/pod/hut as if it were your own. We request a security bond of £100 for a cottage and £50 per pod/hut that must be paid by bank transfer in the week prior to arrival at the cottage. The cost of any damage, missing items or exceptional cleaning will be deducted from this bond and the remainder returned to you, and if damage, replacement of items, extra cleaning is needed, above the security bond held, we reserve the right to invoice you.

The cottage must be left as you find it. There is a vacuum cleaner under the stairs and kitchen washing-up/dishwasher tablets etc under the sinks, with rubbish put in the recycling bins and dustbin, and fridge and freezer emptied.

Pods must be left clean and tidy and all rubbish taken out and placed in dustbins and recycling bins. Please put ash from BBQs, fire pits and disposable BBQs in the metal incinerator bin by the recycling bins near to the shower block – thank you.

We will do everything we reasonably can to honour our commitments to you, but you accept our maximum liability to you on any grounds whatsoever is limited to the amount you have paid to us prior to the problem arising.

If any payment due in relation to your booking is not paid by the appropriate date then we are entitled to assume that you wish to cancel your booking. In this case we will be entitled to keep any deposits paid to that date – this is to cover our admin and re-advertising costs. We will normally send you a reminder before your booking is cancelled to the email address given on booking – we advise that we are updated if you change address, email address or mobile number.

A condition of the booking is that the accommodation booking MUST NOT be sold to a third party – your booking is a contract between the people who book with us and nobody else. If we discover that the people in the accommodation are not the ones who have made the booking (unless the booking is a gift, and made clear at the time of the booking) we reserve the right to terminate the stay, and guests will have to leave immediately.

CHECK-IN/OUT

Check-in is anytime after 4pm on day of arrival and by 10am on day of departure.

We ask for you to telephone in the week prior to arrival to discuss arrival time, pay your security bond and arrange key collection.

IT IS THE RESPONSIBILITY OF GUESTS TO CONTACT US IN THE WEEK PRIOR TO THEIR STAY TO OBTAIN KEY DETAILS. WE ARE NOT RESPONSIBLE IF YOU CANNOT ACCESS THE PROPERTY ON ARRIVAL IF YOU HAVENT BEEN IN TOUCH.

PROPERTY CARE & VISITOR OBLIGATIONS

There is strictly no smoking, vaping, or taking of any other illegal substances, within the cottage, pods, hut, and shower block area, and we request that all cigarette ends are disposed of in an appropriate manner. If it’s found that smoking has taken place within our cottages and glamping units we reserve the right to keep your security deposits to cover the extra time and cleaning taken to prepare the property for the next guests. If we cannot get rid of the smell of smoke, we may have to charge extra if we cannot get rid of the smell in time for the arrival of the next guests, and if we need to cancel, ie if they suffer from asthma/breathing problems we may have to invoice you for their lost booking fees and our revenue.

If there is any taking of illegal substances or any other illegal activity you will be asked to leave immediately and the police will be informed.

There is not to be any driving of vehicles on site whilst under the influence of alcohol or any other substances. The police will be informed.

You must leave the hot tub in the same state of repair and in the same tidy, clean condition as it was when you arrived. Any misuse of the hot tub will result in the liability of the cost of repair to it, and possible shut down of it.

We have the right to enter the property at any reasonable time for the purpose of inspection, repairs, to attend to a hot tub and to water plants. Except in the case of an emergency, where quick access is vital, we are entitled to enter without prior notice.

You agree that the cottages and glamping units let by us are to be used for the purpose of the holiday let only. The booking agreement confers a right to occupy the accommodation for the agreed period only. You cannot sub-let the property or any part there of. Numbers of guests shall not exceed the number allowed in the property description unless already discussed with us prior to arrival. If the number of guests exceeds the number of guests the accommodation sleeps, we reserve the right to ask all guests to leave immediately, with the booking being cancelled without recompense to you.

Castle Farm is a tranquil place, and we ask that you help keep it this way. You agree to prevent any member of your party from causing a nuisance or disturbance in or around the cottages or the neighbouring properties, glamping site or to our wider neighbours. The playing of loud music, setting up of sound systems is not permitted. We request that noise is kept to a minimum between 10.30pm and 8.30am. In the event of any problem arising, we reserve the right to require you to vacate the property on demand without payment of compensation to you.

UNDER NO CIRCUMSTANCES ARE FIREWORKS OR CHINESE LANTERNS ALLOWED ON SITE. THEY ARE A FIRE RISK AND ALSO FRIGHTEN LIVESTOCK AND PETS ON SITE OR IN THE NEIGHBOURHOOD.

ALL BBQs and fire pits must be used on a gravel area only, outside of any accommodation, and made safe before going out or retiring for bed. All electric fires and lights must be switched off, when leaving the property.

In the unlikely event of problems such as a power-cut, a reduction of water supply, problems with WiFi during your stay, or other events beyond our control, we shall use our reasonable endeavours to resolve the problem and keep you informed. However, for the avoidance of doubt, you accept that is the extent of our liability and there will be no refunds.

DOGS

We welcome dogs in our properties, and the following rules form part or our booking agreement:

  • No pets are allowed upstairs or in a downstairs bedroom.
  • Never leave pets unattended in a cottage/garden/pod/hut when you leave the premises – you must take your dogs with you.
  • Pets are not allowed on furniture/sofas/beds.
  • All bedding and bowls must be brought for the pets.
  • Pets must be clean and dry before entering the property.
  • All dog mess is promptly cleaned up from garden, field and surrounding areas.
  • Dogs need to be kept on leads at all times on site.

CHILDREN

We ask that children are fully supervised at all times, and not allowed to play in the toilets or shower block area.

WIFI FOR COTTAGES AND GLAMPING SITE.

Our WiFi is complimentary – this is supplied by Airband who are the very best suppliers for WiFi in rural locations.

PERSONAL PROPERTY

Guests will be notified of any personal belongings left behind. All items can be returned to you at the cost of the postage once payment has been received or taken from your security bond if preferred.

If you do not wish the property to be returned, or have not made arrangements for its collection, after 14 days it will be taken to a charity shop of our choice.

ELECTRIC VEHICLES

No charging of electric vehicles, bikes, scooters on site – there are dedicated charging points for cars at Stan’s Superstore, SY11 3AY, just 2 miles away. If vehicles are found to be charging on site, we shall unfortunately have to ask you to leave, without any refund. We also request electric bikes and scooters are also not charged at the property, as these present a huge fire risk.

FIRE RISK

Please do not smoke or vape inside the property or bring portable heaters, electric blankets, candles, tea-lights, wax melt burners etc, as these are all fire hazards.

SECURITY

Please ensure that the cottage/pod/hut is left secure when you leave it, and on departure day. Your belongings and our property are your responsibility whilst you are staying. Please ensure that all windows are closed and all doors closed and locked when you go out.

Please ensure that your cars are parked within your designated parking area and kept secure. We accept no responsibility for any personal belongings, cars etc left in properties or on site here.

CANCELLATION BY THE CUSTOMER

We strongly recommend that you take out TRAVEL INSURANCE to cover personal eventualities. If you choose not to take out travel insurance, then you and everyone in your party accept responsibility for any loss that you may incur in the event you have to cancel your stay.

This includes – but is not limited to – illness (including Covid), a requirement or recommendation to self-isolate or quarantine, shielding, a call to jury duty, military service, incarceration, change in personal or work circumstances, hospital visit, family emergencies, travel delays, vehicle breakdown, and delays with public transport. THESE REMAIN AT YOUR RISK and do not give a right to cancel or to receive a refund unless we can re-let the property.

There is no refund for the deposit paid, this is used for admin charges and re-advertising costs.

If written confirmation is received after making your booking that you can no longer keep your booking, we will attempt to re-let the cottage or glamping unit, although no guarantee of re-letting is given.

If we are unable to re-let the property you will remain responsible for the remaining balance. In the event of being able to re-let, the deposit and an admin charge of £50.00 per unit of accommodation (not per booking) will be kept and the balance of any other money paid will be returned to the hirer at the point that it is re-let. Please note that in order to re-let, we may have to reduce the price, and if re-let through an agency, their commission charges will be deducted as well – this will be reflected in the amount returned to you. Please note that if you have booked several units we will try our best but may not be able to re-let them all.

UNDER NO CIRCUMSTANCE ARE HOLIDAYS TO BE RESOLD ON LINE OR ANYWHERE ELSE TO A THIRD PARTY OR PASSED ON TO ANYONE ELSE.

THESE BOOKINGS WILL NOT BE HONOURED UNDER ANY CIRCUMSTANCE.

If a cottage, pod or shepherd’s hut booking is cancelled within 8 weeks of arrival, there will be no refund or change of dates, but as stated above, we shall endeavour to re-let the booking for you, with the terms as above.

Please note that if your booking was made with us through a third party (ie an agency) they charge us commission on their booking. In the event of a refund to yourselves, it unfortunately will not be the full amount returned, but minus the commission fee, and the same cancellation policies apply.

Customer inability (or the inability of any or some or all of your intended party) or disinclination to travel to and stay at Castle Farm Holidays Shropshire for any reason, will count as a cancellation, and our cancellation terms and conditions apply.

If unable to stay here we will not be able to give any refunds or change of dates, but are willing to email your insurance company, if they contact us, and if they request us to (with your written permission) provide them with confirmation that you did not stay with us, if that were the case.

There are no refunds for disinclination to travel. Any requests to move dates will be seen as a cancellation, viewed as starting again as a new booking, with no reimbursement of money.

If you decide to leave early, or arrive later than when your booking starts, unfortunately, we will not be able to give you a refund.

CANCELLATION BY OWNER

If your booking has to be cancelled because Castle Farm Holidays Shropshire is put under government restrictions and has to close, and the period of closure covers your booking, you will be refunded in full, or honoured for another date – if this date is more expensive, then you will just need to pay the balance between the two prices.

If your booking has to be cancelled because Castle Farm Holidays Shropshire has to close through Force Majeure, meaning any of the following circumstances which may hinder or prevent the performance by us of the contract, including but not limited to: (a) acts of God, flood, drought, earthquake or other natural disaster; (b) epidemic or pandemic; (c) terrorist attack, civil war, civil commotion or riots, war, threat of or preparation for war, armed conflict, imposition of sanctions, embargo, or breaking off of diplomatic relations; (d) nuclear, chemical or biological contamination or sonic boom; (e) any law or any action taken by a government or public authority, including without limitation imposing a restriction, prohibition, or failing to grant a necessary licence or consent; (f) collapse of buildings, fire, explosion or accident; (g) non-performance by our suppliers or contractors; and (i) failure of utility service, and the period of closure covers your booking you will be refunded in full for the hire of the accommodation only.

In the very unlikely event that we need to change or cancel your booking, the hirer will be contacted by telephone to discuss the problem as soon as it is reasonably practical. If able to, we will offer another property and date (if available) – if the replacement property is accepted but more expensive, the hirer will not need to pay the difference. If the replacement property is a lower price, we will refund the difference in price. If the replacement property and date is not convenient, the booking will be cancelled and all monies received at that point will be returned to the hirer.

OWNER’S LIABILITY

If you have a problem during your stay, please contact us, and we shall try to rectify it for you. If it is a problem beyond our control we shall keep you updated if we need to get outside help to rectify the problem.

We will not accept any responsibility if you report a problem after your departure, when we have not been informed while you were on site, and we were not given the opportunity to rectify it for you during your stay with us.

If you decide to leave early for personal reasons, weather conditions, and situations beyond our control, there will be no refunds.

Under no circumstances will the owner’s liability exceed the rental paid for the cottage.

LAST-MINUTE BOOKING.

If you book last minute and then have to cancel your booking we will try our utmost to re-let the cottage, pod or hut, but please be aware that this may not be possible, as with last minute cancellations we only have a limited time to re-let. If we cannot re-let the dates, unfortunately, we will be unable to offer any type of reimbursement or change of dates. We strongly advise that you have travel insurance that covers you for unexpected events.

GLAMPING PODS

All the above terms and conditions apply when hiring the pods.

PAYMENT

This is due in full at the time of booking.

SECURITY BOND (DEPOSIT)

There is a charge of £50.00 for each pod – this is paid by bank transfer in the week prior to arrival. The bond is returned to you as long as the pod is left in the condition it was found. Any damage to the pod, hot tub, or the site, or disruption on the site, may lead to the bond not being returned to you, and you being invoiced if any damage exceeds the security bond.
