Castle Farm Holidays Shropshire Cottages, Shepherd Hut and Glamping Pods
Once you have made a booking with us, the following terms and conditions apply.
WE OFFER A FULL REFUND OF MONEY PAID TO US, OR CHANGE OF DATES IF YOU WOULD PREFER IF OUR BUSINESS IS FORCED INTO NATIONAL/LOCAL LOCKDOWN.
The change of dates is to the value of what you have already paid us. ie if you have paid £400 and you choose a break that costs £500 you pay the difference in cost of £100.
We strongly advise that you take out travel insurance to cover you if you were to contract Covid-19 or have to self isolate making you unable to take your stay here. Holiday insurance should be taken out to include – but is not limited to – any illness (including Covid), a requirement or recommendation to self-isolate or quarantine, shielding, hospital treatment a call to jury duty, military service, incarceration, change in personal or work circumstances, family emergencies, travel delays, vehicle breakdown, and delays with public transport. THESE REMAIN AT YOUR RISK and do not give rise to a right to cancel or to receive a fund unless We can re-let the property for you.
All bookings are accepted in good faith on behalf of the owners. In the extremely unlikely event of any occurrence resulting in the booking having to be cancelled the Owner`s liability shall be limited to the immediate return to the Hirer of all monies paid.
The customer must be at least 21 years of age and authorised to make the booking on behalf of all other members of the party. By making the booking the Customer confirms that He/She has read the terms and conditions of booking with us.
The person making the booking has the responsibility of ensuring that all guests in their party are aware of our terms and conditions and adhere to them.
If a group booking is being made for several units, we just liase with the person who makes the booking, and all payments are made by just the one person. Any requests for anyone joining the group, must be made by the main person booking.
The week before your arrival, along with the security bond, we will need the names ( and addresses, if different from the person booking) of everyone staying in the cottage or in the glamping unit.
If you would like to book exclusive use of the glamping site, this will involve booking all pods and shepherd hut at the published price, as it is unfair (and we do not ) book a single pod out to guests that are not involved in the gathering, thus leaving us with an empty unit.
When you receive your email confirmation of booking, you should check all details carefully. If anything is incorrect, the owner should be contacted immediately. The Owner cannot be held liable for any mistakes that arise from you giving incorrect booking details Once the confirmation email has been sent by the owner, the hirer is responsible for the total advertised price of the property and any extras as shown on the hire statement.
We require an initial deposit of £50 per unit booked, (this is non refundable and becomes the booking fee, this covers reserving the dates for you, so that nobody else can book them and admin charges)to secure your booking for the cottages, with balance payable 8 weeks prior to arrival.
If the booking is made within 8 weeks of your stay, the payment is requested in full at the time of booking.
BOOKINGS ARE HELD FOR 24 HOURS. IF NO PAYMENT IS RECEIVED WITHIN THIS TIME DATES WILL BE RELEASED AND COULD BE BOOKED BY SOMEONE ELSE.
The deposit shall be provided at the time of booking. This is taken by a BACS payment., and is non refundable.
The Final balance payment should be paid in full at least 8 weeks before commencement date of your stay, or if booking is made within 8 weeks of your stay, payment is taken in full at time of booking.
Please ensure that payment is made on time , if payment is not received on time, we reserve the right to cancel your booking.
A condition of staying with us is that you look after the holiday cottage/pod as it were your own. We request a security bond of £100 ,for a cottage and £50 per pod which must be paid by bank transfer in the week prior to arrival at the cottage. The cost of any damage or missing items or exceptional cleaning will be deducted from this bond and the remainder returned to you, and if damage/replacement of items, extra cleaning is needed, above the security bond held,we reserve the right to invoice you.
The cottage must be left as you find it, there is a hoover under the stairs and kitchen washing up/dishwasher tablets etc under the sinks in cottages, rubbish put in the recycling bins and dustbin and fridge and freezer emptied.
Pods must be left clean and tidy and all rubbish taken out and placed in dustbins and recycling bins. If using Bbqs/firepits, ash from these and disposable bbqs please put in the metal incinirator bin by the recycling bins, by the shower block- thank you.
We reserve the right to invoice the person booking the holiday for any replacements/damaged items and additional costs including extra cleaning incurred that are discovered after departure, if this exceeds the security deposit amount.
We will do everything we reasonably can to honour our commitments to you, but you accept our maximum liability to you on any grounds whatsoever is limited to the amount you have paid to us prior to the problem arising.
If any payment due in relation to your booking is not paid by the appropriate date then we are entitled to assume that you wish to cancel your booking. In this case we will be entitled to keep any deposits paid to that date, this is to cover our admin and readvertising costs. The owner will normally send you a reminder to you before your booking is cancelled to the email address given on booking, we advise that we are updated if you change address, email address or mobile number.
A condition of the booking, is that the accommodation /booking MUST NOT be sold to a third party, your booking, is a contract between the people who book with us us and nobody else. if we discover that the people in the accomodation are not the ones who have made the booking ( unless the booking is a gift, and made clear at the time of the booking) we reserve the right to terminate the stay, and guests will have to leave immediately.
Check in is anytime after 4pm on day of arrival and by 10am on day of departure. We ask for you to telephone in the week prior to arrival to discuss arrival time, pay your security bond and arrange key collection.
IT IS THE RESPONSIBILITY OF GUESTS TO CONTACT US IN THE WEEK PRIOR TO THEIR STAY TO OBTAIN KEY DETAILS. WE ARE NOT RESPONSIBLE IF YOU CANNOT ACCESS THE PROPERTY ON ARRIVAL IF YOU HAVENT BEEN IN TOUCH.
PROPERTY CARE and VISITOR OBLIGATIONS
There is strictly no smoking, vaping, or taking any other illegal substances, within the cottage and pods Shepherd Hut/shower block area, and we request that all cigarette ends are disposed of in an appropriate manner. If it found that smoking has taken place within our cottages and Glamping units, we reserve the right to keep your security deposits for the extra time that will be need to be spent on turning the cottages and pods around for the next guests, if we cannot get rid of the smell of smoke, we may have to charge extra if we cannot get rid of the smell in time for next guests arrival, and if we need to cancel, ie if they suffer from asthma/breathing problems we may have to invoice you for their lost booking fees and our revenue.
If there is any taking of illegal substances, illegal activity, you will be asked to leave immediately and the police will be informed.
There is not to be any driving of vehicles on site whilst under the influence of alcohol or any other substances. The Police will be informed.
You must leave the property and the hot tub in the same state of repair and the same tidy clean condition at the end of rental agreement as it was in the beginning. Any misuse of the hot tub will result in the liability of the cost of repair to the hot tub, and possible shut down if misused.
The owner has the right to enter the property at any reasonable time for the purpose of inspection/repairs, attend to hot tub and water plants, except in the case of an emergency where quick access is vital, the Owner is entitled to enter without prior notice.
You agree that the cottages and glamping units let by the Owner are to be used for the purpose of the holiday let only. The booking agreement confers a right to occupy the accommodation for the agreed period only. You cannot sub- let the property or any part there of. Numbers of guests shall not exceed the number allowed in the property description unless already discussed with the Owner prior to arrival. If the number of guests exceeds the number of guests the accomodation sleeps, we reserve the right to ask all guests to leave immediately, the booking will be cancelled, without recompense to yourselves.
Castle Farm is a tranquil place, and we ask that you help keep it this way. You agree to prevent any member of your party from causing a nuisance or disturbance in or around the cottages or the neighbouring properties, glamping site or to our neighbours. The playing of loud music, setting up sound systems is not permitted.
We request that noise is kept to a minimum between 10.30pm and 8.30am.
In the event of any problem arising, we reserve the right to require you to vacate the property on demand without payment of compensation to you.
UNDER NO CIRCUMSTANCES ARE FIREWORKS OR CHINESE LANTERNS ALLOWED ON SITE. THEY ARE A FIRE RISK AND ALSO FRIGHTEN LIVESTOCK AND PETS ON SITE OR IN NEIGHBOURHOOD.
ALL BBQs and fire pits must be used on a gravel area only, outside of any accomodation, and made safe before going out or retiring for bed.
All electric fires and lights must be switched off, when leaving the property.
In the unlikely event of problems such as a power cut/water supply reduced, problems with wifi,( wifi can be slower in rural areas and speed may not be as fast as you are used to) during your stay with us, or other events beyound our control , we shall use our reasonable endeavours to resolve the problem and keep you informed. However, for the avoidance of doubt, you accept, that is the extent of our liability.
We welcome dogs in our properties, and the following rules form part or our booking agreement.
No pets are allowed upstairs or in downstairs bedroom.
Never leave pet/s unattended in cottage/ garden, pod or shepherd hut, when you leave the premises, so must take your dogs with you.
Pets are not allowed on furniture/settee/beds.
All bedding and bowls must be brought for the pets.
Pet must be clean and dry before entering the property.
All dog mess is promptly cleaned up from garden, field and surrounding areas.
Our wifi is complimentary, but fibreoptic wifi has yet to reach Dudleston, we are very much hoping it will arrive soon, this means that our 'rural' wifi may not be a fast as you are possibly used to and the weather can affect it too, so may be intermittant, and whilst this may be frustrating this is unfortunately beyond our control.
Guests will be notified of any personal belongings left behind. All items can be returned to you at the cost of the postage, once payment has been received /taken from your security bond if wished.
If you do not wish the property to be returned, or have not made arrangements for its collection, after 14 days it will be taken to a charity shop of our choice.
Please ensure that the house /pods left secure when you leave it, and on departure day. Your belongings and Our property are your responsibility whilst you are staying in it. Please ensure all windows are closed and all doors closed and locked when you go out.
Please ensure that your cars are parked within your designated parking area and kept secure if left here.We accept no responsiblity of any personal belongings, cars etc left in properties or on site here.
CANCELLATION BY THE CUSTOMER
We strongly recommend that you take out TRAVEL INSURANCE to cover personal eventualities. If you choose not to take out travel insurance, then you/and everyone in your party accept responsibility for any loss that you may incur in the event you have to cancel your stay.
This includes – but is not limited to – illness (including Covid), a requirement or recommendation to self-isolate or quarantine, shielding, a call to jury duty, military service, incarceration, change in personal or work circumstances, family emergencies, travel delays, vehicle breakdown, and delays with public transport. THESE REMAIN AT YOUR RISK and do not give rise to a right to cancel or to receive a refund unless We re-let the property.
There is no refund for the deposit paid, this is used for admin charges and Readvertising costs.
If written confirmation is received after making your booking, that you can no longer keep your booking, we will attempt to re-let the cottage,or glamping unit , although no guarentee of re-letting is given, if the owner is unable to re-let the property , you will remain responsible for the remaining balance. In the even of being able to re-let, the deposit and an admin charge of £50.00 per unit of accommodation ( not per booking) that you have booked will be kept and the balance of any other money paid will be returned to the hirer, at the point that it is relet, please note in order to relet, we may have to reduce the price, and if relet through an agency, their comission charges will be deducted as well, this will be reflected in the amount returned to you. Please note if you have booked several units . we will try our best , but may not be able to resell them all.
UNDER NO CIRCUMSTANCE ARE HOLIDAYS TO BE RESOLD ON LINE TO A THIRD PARTY OR PASSED ON TO ANYONE ELSE. THESE BOOKINGS WILL NOT BE HONOURED UNDER ANY CIRCUMSTANCE.
IF COTTAGE, SHEPHERD HUT, POD BOOKING IS CANCELLED WITHIN 8 weeks of arrival, there will be no refund, but as stated above, we shall endeavour to resell the booking for you, with the terms as above.
Please note that if your booking was made with us through a third party( ie agency) they charge us comission on their booking. in the event of a refund to yourselves, it unfortunately will not be the full amount returned, but minus the comission fee, and the same cancellation policies apply.
WE STRONGLY ADVISE THAT YOU TAKE OUT YOUR OWN TRAVEL INSURANCE IN THE EVENT THAT YOU ARE UNABLE TO TAKE YOU HOLIDAY, DUE TO ILLNESS, TRAVEL RESTRICTIONS IMPOSED IN ANY COUNTRY, FORCE MAJEURE, GOVERNMENT ADVICE. THIS ALSO REFERS TO ANYTHING RELATED TO CORONAVIRUS (COVID-19) AND ANY OTHER LARGE SCALE ILLNESSES THAT MAY HAPPEN RESTRICTING TRAVEL/TAKING UP HOLIDAYS.
FORCE MAJEURE- WE CANNOT ACCEPT LIABILITYFOR ANY ALTERATIONS, DELAY OR CANCELLATION OR ANY OTHER LOSS OR DAMAGE CAUSED BY WAR, CIVIL STRIFE, TERRORIST ACTION, INDUSTRIAL DISPUTES, FIRE, SICKNESS, BAD WEATHER, FLOODS, LIVESTOCK, EPIDEMICS, ANY ACTS OF GOVERNMENT, OR PUBLIC AUTHORITY, CHANGES IMPOSED BY RE-SCHEDULING OF AIRLINES, FERRIES, PUBLIC TRANSPORT, OR ANY EVENT OUTSIDE OF OUR CONTROL.
Customer inability (or the inability of any or some or all of Your intended party) or disinclination to travel to and stay at Castle Farm Holidays Shropshire for any reason, will count as a cancellation , and our cancellation terms and conditions apply.
This includes – but is not limited to – illness (including Covid), a requirement or recommendation to self-isolate or quarantine, shielding, a call to jury duty, military service, incarceration, change in personal or work circumstances, family emergencies, travel delays, vehicle breakdown, and delays with public transport. THESE REMAIN AT YOUR RISK and do not give rise to a right to cancel or to receive a refund unless We re-let the property,
You are strongly recommended to take out travel insurance to cover these eventualities. If you choose not to take out travel insurance, then you accept responsibility for any loss that you may incur due to your cancellation.
If unable to stay here.We will not be able to give any refunds, but are willing to email your insurance company, if they contact us, and if they request us to,(with your written permission) confirming that you did not stay with us, if that were the case.
There are no refunds for disinclination to travel
Any requests to move dates, will be seen as a cancellation., no reinbursment of money , and re starting again as a new booking
If you decide to leave early, or arrive later than when your booking starts, we unfortunately will not be able to give you a refund.
CANCELLATION BY OWNER
If your booking has to be cancelled because Castle Farm Holidays Shropshire is put under Government Restrictions and has to close and the period of closure covers Your booking You will be refunded in full, or honoured for another date.
If your booking has to be cancelled because Castle Farm Holidays Shropshire has to close through Force Majeure, meaning any of the following circumstances which may hinder or prevent the performance by us of the Contract, including but not limited to: (a) acts of God, flood, drought, earthquake or other natural disaster; (b) epidemic or pandemic; (c) terrorist attack, civil war, civil commotion or riots, war, threat of or preparation for war, armed conflict, imposition of sanctions, embargo, or breaking off of diplomatic relations; (d) nuclear, chemical or biological contamination or sonic boom; (e) any law or any action taken by a government or public authority, including without limitation imposing a restriction, prohibition, or failing to grant a necessary licence or consent; (f) collapse of buildings, fire, explosion or accident; (g) non-performance by our suppliers or contractors; and (i) failure of utility service, and the period of closure covers Your booking You will be refunded in full.
In the very unlikely event that the Owner needs to change or cancel your booking, the Hirer will be contacted by telephone to discuss the problem as soon as it is reasonably practical. If able to, the Owner will offer another property at the same location, and time (if availiable), if the replacement propery is accepted but more expensive, the hirer will not need to pay the difference. If the replacement property is a lower price, the owner will refund the difference in price. If the replacement property/time is not convenient, the booking will be cancelled and all monies received at that point will be returned to the hirer.
If you have a problem during your stay, please contact us, and we shall try to rectify it for you, if it is a problem beyond our control we shall keep you updated if we need to get outside help to rectify the problem.
We will not accept any responsibility if you report a problem after your departure, when we have not been informed while you were on site, and we are not given the opportunity to rectify it for you during your stay with us.
If you decide to leave early for personal reasons/weather conditions/ situations beyond beyond our control there are no refunds.
Under no circumstances will the Owner's liability exceed the rental paid for the cottage.
LAST MINUTE BOOKING.
If you book last minute and then have to cancel your booking, we will try our utmost to resell the cottage or pod booking, but please be aware, this may not be resold, as with last minute cancellations, we do not have time on our side to resell. If we cannot resell the dates, unfortunately we will be unable to offer any type of reimbursement.
All the above terms and conditions apply, when hiring the pods.
This Is due in full at the time of booking.
There is a charge of £50.00 for each pod , this is paid by bank transfer in the week prior to arrival. The bond is returned to you, as long as Pod is left in the condition it was found. Any damage to the pod/hot tubs damage to site or disruption on the site, may lead to the bond not being returned to you, and you being invoiced if any damage exceeds the security bond.
Dogs need to be kept on leads at all times on the glamping site.
We ask that children are fully supervised at all times, and not allowed to play in the toilets or shower block area,
If a problem should arise during your stay, we must be advised at the time and during your stay, so that we are aware of the problem and can endevour to sort it out for you, as soon as reasonably possible. We cannot hekp you if you do not communicate with us. We cannot enter in to any discussion with you if a problem is mentioned after your stay here, and at no stage was it mentioned to us during your stay, enabling us the opportunity to rectify it when you are on site.
If you decide to leave early, due to bad weather/ personal reasons, situations beyond our control, there are no refunds.
WE STRONGLY ADVISE THAT YOU TAKE OUT TRAVEL INSURANCE INCASE YOU NEED TO CANCEL YOUR BOOKING, AS MENTIONED ABOVE.
ELECTRIC VEHICLES- CHARGING OF ELECTRIC VEHICLES IS NOT ALLOWED UNDER ANY CIRCUMSTANCES ON OUR PREMISES- THERE ARE CHARGING POINTS 2 MILES AWAY @ STANS SUPERSTORE IN ST MARTINS SY11 3AY
At Castle Farm Holidays, we take your data seriously we only collect data, in relation to your booking, this will include, Name, Address, telephone numbers, email address, and we will request your bank details to return security deposits either by text or email, or your landline if that was number given to us for booking. this is purely to keep in contact with you for your booking. We will also collect number of adults/children and pets in booking, and if not a family booking (ie group booking)we will need details of everone elses name and address in the booking.
We also have 3rd party agencies, who also sell holidays on our behalf for cottages and the glamping site. These companies will pass on your details to us for your booking. We also use google analytics, for marketing purposes. if paying online, this is done through the stripe platform, and any details given when you paid will have been collected by them and not passed on to us.
If you have signed up to our newsletter , this is giving us consent to send you a newsletter/contact you re news, and we may periodically send you an email with special offers
Data is stored on a password protected computer, paper diaries that are kept locked away, our website has a SSL certificate, showing the padlock, making it safe to use,
Data may need to be used for accounting and tax purposes.
